This policy explains what personal data KnowAnchor collects when you use knowanchor.com and the KnowAnchor application, why we collect it, and what rights you have over it. It applies to visitors of the marketing site, registered users of the application, and readers of any public knowledge base published on the platform.
| Category | Examples | Source |
|---|---|---|
| Account data | Name, email address, password (stored as a salted hash, never in plain text), plan tier | Provided by you at registration |
| Article content | Titles, body text, categories, draft/published status, and edit history you create inside the app | Provided by you |
| AI-processing data | When you use an AI writing action (Improve, Rewrite, Summarize, Expand, Generate FAQs), the relevant article text is sent to our AI provider (OpenAI) to generate a result | Provided by you, only when you trigger an AI action |
| Technical/session data | Session cookie, IP address (processed transiently for security/rate-limiting), basic server logs | Automatically, while using the service |
| Communications | Any email you send to support@knowanchor.com | Provided by you |
We do not run analytics or advertising trackers at launch. See the Cookie Policy for the exact cookies in use.
When you use an AI writing action, the text you selected (or the full article, if nothing is selected) is sent to OpenAI's API to generate the requested output. This only happens when you actively trigger an AI action — it is never automatic or continuous. We do not store the text you send to the AI action separately from the article itself — our internal usage log records only that an action ran (which action, on which article, by which user, and whether it succeeded), never the article text or the AI output. OpenAI processes this data under its API business terms and Data Processing Addendum. Under OpenAI's API policy at the time of publication, data submitted through the API is not used to train or improve OpenAI's models unless the customer explicitly opts in — we have not opted in. We do not send your account password or billing information to any AI provider. If no AI provider is configured, no data leaves our servers for AI purposes — the system returns clearly labeled mock output instead.
| Purpose | Legal basis (GDPR Art. 6) |
|---|---|
| Creating and running your account | Performance of a contract |
| Storing and displaying your article content | Performance of a contract |
| Sending your text to an AI provider when you trigger an AI action | Performance of a contract / your explicit action |
| Session security, fraud prevention, rate limiting | Legitimate interest |
| Responding to support emails | Legitimate interest / performance of a contract |
| Legal compliance (e.g., responding to a lawful request) | Legal obligation |
Account data and article content are retained for as long as your account is active. If you delete your account, your projects, categories, and articles are permanently deleted immediately — there is no grace period and deleted content cannot be recovered. Server logs are retained for up to 30 days for security and operational purposes and then deleted or anonymized.
- OpenAI, L.L.C. — processes article text you submit to an AI action, solely to return the requested result.
- IONOS SE — hosts the application and database.
We do not sell personal data. We do not share article content with any third party for advertising or analytics purposes.
OpenAI, L.L.C. is a United States company; when you trigger an AI action, the article text you submit is transferred outside the EEA for processing before the result is returned to you. These transfers are safeguarded by the EU Standard Contractual Clauses incorporated in OpenAI's Data Processing Addendum. Our hosting provider, IONOS SE, is a European company and hosts the application and database within the European Union, so hosting involves no transfer outside the EEA.
If you are in the EEA, UK, or a jurisdiction with similar protections, you have the right to access, correct, delete, restrict, or export your personal data, and to object to certain processing. Most of this can be done directly from Account settings (edit profile, delete account). For anything else, contact support@knowanchor.com. You also have the right to lodge a complaint with your local data protection authority.
If you set a project to "public," the articles you publish in it are visible to anyone with the link, including via search engines. Do not publish personal data about others in a public project unless you have a lawful basis to do so.
KnowAnchor is not directed at, and should not be used by, anyone under 16.
We'll update the date below if this policy changes materially, and post the updated version at this URL.
